Suggested workflow for Building Use Only (BUO) and Restricted Material at Circulation Desks
When the item arrives from NRLF, check it in and place it on your hold shelf. Then, if the hold is for your unit’s CIRC SUP patron, check the item out to this patron record to fulfill the hold. If the hold is for any other patron, follow the procedures below.

  • If Patron Does Not Pick Up Item⇒
    “Clear Holdshelf” will place the item in transit to NRLF, and prompt physical removal from your holdshelf.  In this case, procedures are the same as for Unrestricted material.
  • If Patron Picks Up Item and Uses it One Time
    Check-out to patron for same day (12 hour period max. or until library closes; item is to stay inside the library)
  • When patron returns the item
    Check-out to your departmental patron record. Then check-in to change status to “In Transit” to NRLF ⇒delivery location returns item to NRLF. If a new hold was placed on the item, route it to the selected pickup location, or place on Holdshelf if same pickup location. (Holds for Restricted materials can be for the owning library’s pick-up location only.)
  • If Patron Picks Up Item and Uses it More than One Time
    Check-out to patron for same day (12 hour period max. or until library closes; item is to stay inside the library)
  • When patron returns the item>⇒
    Check-out to departmental patron record (i.e. ENGI, ITSL, NAS).  Millennium will ask for confirmation of new check-out when item is currently checked out to patron. [Do NOT check item in from patron to avoid setting status to “In Transit”.]
  • When patron picks up item
    Check-out to patron. Millennium will ask for confirmation of new check-out. . [Do NOT check item in from patron to avoid setting status to “In Transit”.]
  • When patron returns the item
    Check-out to departmental patron record … (start loop)
  • If item is checked in from departmental patron record (or the holdshelf)
    Item is put into “In Transit” to NRLF status ⇒delivery location returns item to NRLF as soon as possible
  • When the item is READY TO SEND BACK TO NRLF
    Make sure the item is checked out to your departmental patron record. Then, check in the item to change status to “In Transit” to NRLF ⇒delivery location returns item to NRLF
  • If the item is left checked out to the patron
    Patron may receive overdue notice/bill.
  • When item arrives at NRLF
    NRLF checks in the item ⇒system removes the “t In Transit” message and changes status to “- Available“.  NRLF reshelves item.
