Introduction
Adding relator terms or codes to added entries is always OPTIONAL. The need for added entries to contain relator terms, and the specificity of the terms, must be determined by the owning library’s policies, selectors, curators, etc. Recording the roles that various added entries perform is particularly important in special collections and rare materials cataloging (represented primarily by the Bancroft Library, the Music Library, and the Media Resources Center). In a shared catalog, it is crucial that relator terms be assigned based on a standard controlled vocabulary in accordance with standard MARC 21 cataloging procedures. Relator terms that are copy-specific (e.g., provenance terms) must be clearly identified so that the user can easily determine to which copy the information pertains.

Background
In GLADIS, relator codes, as maintained by the Library of Congress in the MARC Code Lists for Relators, Sources, and Descriptive Conventions (http://www.loc.gov/marc/relators/), were applied in a limited fashion. Relator codes are 3-character codes and were entered in subfield 4, following the added entry and any final punctuation.

In Millennium, relator terms [1] are to be used. Relator terms are descriptive words or phrases and are entered in subfield eafter the added entry following a comma, with a final period after the term.

Whenever a relator term is copy-specific (e.g., provenance), a subfield 5 containing the MARC Organization Code [2] of the owning library, must also be used. If a copy-specific relator term is used, the final period is entered after the term and before the subfield 5.

Migration
NOTE: The following section is designed to provide historical background only. For instructions on creating copy-specific notes in current cataloging, please see Best Practices below.
During migration, all relator codes were expanded to their corresponding words or phrases and subfield 4 was converted to subfield e. However, the punctuation was not changed. Also, the resulting migrated terms have been capitalized. Fortunately, neither punctuation nor capitalization affects the indexing of relator terms.

Best Practices
Use relator terms, as maintained in a standardized thesaurus [1], entered in subfield e, with appropriate punctuation. Although Millennium programming will automatically convert relator codes entered in subfield 4 to their corresponding terms in the OskiCat public display, they do not index together with relator terms entered in subfield e. If relator codes are used post-migration, split files will result.
Use the most specific term available.
If a single person or organization performs multiple roles in a single work, enter all applicable relator terms on the same 7xx entry (subfield e is repeatable).
If a relator term is copy-specific (e.g. former owner, associated name, annotator), a subfield 5 with the MARC Organization Code of the owning library must be used.
Maintain consistency. Do not switch back and forth among thesauri that use variant terms for the same function (e.g., “direction” in Relator Terms for Archival Moving Image Cataloging and “director” in LC Relator Terms).

(Note: If the name heading includes an open date, no additional punctuation is used before the subfield e)
Special Notes
Certain relator terms have been established as abbreviations by the Library of Congress. Those terms are:
- Compiler = comp.
- Editor = ed.
- Illustrator = ill.
- Translator = tr.
When using any of these terms, enter the standard abbreviation in subfield e.
