Cataloging Bound-With Monographs

For Works Bound Together After Publication
Introduction
Bound-with monographs are instances of two or more independent works placed together under one cover by the publisher, or bound together subsequent to publication, for example, by a previous owner or by the Library. The procedures for cataloging bound-withs issued as such by the publisher are different from those for items bound together locally or by a previous owner.
Be sure you are dealing with a bound-with item and not a work published as a collection (collecting more than one previously published title), as these do not receive separate bibliographic records for each title unless analyzed. If the latter is the case, please refer to procedures for cataloging analytics.
Each title in a bound-with monograph should receive a separate bibliographic record, but there can be only one item record with one call number and one barcode in Millennium. This item record should be linked to each of the bibliographic records for titles in the bound-with volume.
Bound-with items are often characterized by:
- Generic, unmarked covers, or covers bearing only one of the titles contained therein
- Lack of a collective title
- Two or more distinct title pages, in some (but not all) cases not gathered together at the beginning of the volume
- Two or more sequences of pagination
- For early printed monographs, two or more sequences of collation (signatures)
- Two or more sources of distinct publication information
Purpose
These procedures detail how to catalog titles which although published separately have subsequently been bound together after publication by the Library or a previous owner of the material.
Classification
Since the titles are bound together, they must share a single call number. Classification and cutter should be based on the first title in the volume.
Physical Description (MARC field 300)
In subfield “a” of the bibliographic record for each title, describe the extent of that title only as one normally would if the title appeared separately.

“With Note” (MARC field 501)
When separately issued items are bound together after publication, use MARC field 501, including subfield 5 with the MARC Organization Code of the owning library, for the bound-with note.

The note in the record for the first title (Title A) mentions all the succeeding titles bound together in the order they appear in the volume, while the note in records for each of the succeeding titles mentions only the first title (Title A).

Preface the note with the Library location and copy number if the owning unit owns other copies (bound separately) using the same call number.
Example:

Preface the note with the call number and location, if the owning unit owns other copies using a different call number.
Example – Title B is in catalog for MAIN under 2 different call numbers:

Preface the note with the location, if the Library owns more than one copy held at two or more locations.
Example – The Bancroft Library owns a copy of Title A, but the MAIN copy is bound with Title B:

Citation Format for Note Field 501
Format of citations can be determined by each cataloging unit, but each unit should strive for consistency for items cataloged by that unit.
The following citation format should be used by catalogers in:
- The Library’s Catalog Department
- Institute of Transportation Studies Library
- C.V. Starr East Asian Library (EAL)
Citation format (shown here with two citations): Title / Author — Title / Author.

In record for first title (Title A):

The following citation format should be used by catalogers in:
- The Bancroft Library
Citation format (shown here with two citations): Author. Title. Location of Publication : Publisher, Date of publication — Author. Title. Location of Publication : Publisher, Date of publication.

Item Record
In the case of bound-with volumes, a single item record is created and attached to the bibliographic record for the first title, and is then linked to the bibliographic record(s) for the subsequent title(s).
When cataloging the first title in OCLC, create an item record for the first title by using the appropriate 949 _ 1 values.
When cataloging the subsequent titles, do not use a 949 _ 1 to create an item record. Instead, go into Millennium and link the item record from the first title to the bibliographic records for subsequent titles.
Steps for Cataloging Bound-with Titles Which Were Bound Together Subsequent to Publication
- Search Millennium for the title occurring first in the bound-with volume.
- If found, determine if the record:
- is for the bound-with volume in hand—if it is, go to step 4.
- is for another copy of the same title (the first title in the bound-with)—if so, create a separate item record for the volume in hand.
- If not found, search another title in the volume and proceed as above; or, if none are found, proceed to the next step.
- Search for each title in the bound-with volume on OCLC and update holdings on an existing record, or derive or create a new bibliographic record as appropriate.
- If the record is for the first title in the volume:
- include a 949 _ 1 to create an item record for the volume in Millennium, if none exists already. If an item was created in step 1, do not include a 949 _1.
- add the 501 note with |5, to indicate the location of the UCB bound-with copy
- export the record to Millennium, unless a record was found in step 1.
- If the record is for the subsequent title(s):
- add the 501 note with |5, to indicate the bound-with status of UCB’s copy
- do NOT include a 949 _1; just update holdings and export the record into Millennium.
- In Millennium, link the item record which is attached to the bibliographic record for the first title to the bibliographic records for ALL subsequent titles in the volume.
To link the item record to the bibliographic record for subsequent titles:
- Retrieve the bibliographic record for the first title (searching by barcode is quickest).
- In the Summary tab of the record for the first title, select the item record you want to link to an additional bibliographic record (since there is usually only one item record, it will already be selected).
- Choose Edit | Link to additional bib record | Find Bib.
- In the “Select destination bib” window, select (or use the Select button) to retrieve the bibliographic record to which you want to link the item.
- In the Summary tab of the bib record to which you want to link the item, choose “Use Bib”. The “Select destination bib” window closes, and the system links the item(s) to the additional bibliographic record you selected.
Note: If done correctly, you will see the additional bibliographic record number(s) the item is attached to in the status bar labeled “Also linked to record(s):” located immediately beneath the variable-length field area of the item record tab.
